What you'll accomplish
Each FF&E schedule line starts as a manufacturer's spec sheet and ends as a row in your format: item, manufacturer, model, dimensions as published, finish, material, notes. Retyping that is slow and easy to get wrong. After this setup, you paste the spec text for one item into a Gemini Gem and get a schedule entry in your studio's format. Anything the sheet does not say comes back as "not stated on sheet", so gaps are visible instead of papered over. You then check every field against the sheet itself.
Note: Google is replacing Gems with skills. Existing Gems are recreated as skills automatically, from November 2026 for personal Google accounts and from March 2027 for Workspace business accounts.
What you'll need
Before you paste anything. In Gemini's activity and privacy settings, read how conversations are kept and whether they can be reviewed or used to improve Google's models. Paste only the manufacturer's public spec text. Leave out your trade pricing, net cost, markup, the client's name, the project address and anything from a quote. Use the item's tag from your schedule (for example "LC-01") and no project details.
What you should see: A short list of columns with a rule for blanks. Troubleshooting: If your schedule has columns that are not on any spec sheet (location, quantity, status), leave them out of the Gem and fill them in yourself.
What you should see: A form with a name field, an instructions field and, in some versions, a place for knowledge files. Troubleshooting: Button names vary by version and account type. If you cannot find Gems, check your account's Gemini help pages. Your Workspace administrator may control access.
Name it "FF&E spec writer". Paste the text below into the instructions field, replacing the column list with your own.
You write one FF&E schedule entry at a time for an interior designer.
Input: text copied from a manufacturer's spec sheet for a single item.
Output: one table row with these columns, in this order: Tag, Item, Manufacturer, Model, Material, Finish or color name, Dimensions as published, Notes, Source.
Rules:
- Every value must come from the pasted spec text. Copy wording and units exactly as printed.
- If the text does not state a value, write "not stated on sheet". Never guess or fill a blank from general knowledge.
- Do not convert units, round numbers or combine dimensions.
- Never state or imply that an item meets a building code, accessibility standard or fire rating requirement. If the spec text mentions a rating or test, quote it in Notes and add "verify with manufacturer documentation".
- If I paste text for more than one item, ask me to send one item at a time.
- After the row, list any fields marked "not stated on sheet".
What you should see: The Gem name and instructions in the editor. Troubleshooting: If the Gem later adds commentary or opinions, add "No commentary. Only the row and the list of missing fields."
What you should see: A single row with your columns filled and gaps marked. Troubleshooting: If it fills a field the sheet never states, tighten the rule: "A value that does not appear in the pasted text is always 'not stated on sheet'."
This is a required step, not an optional one.
What you should see: A row you have personally confirmed. Troubleshooting: If you find errors in more than one field, stop using the Gem on that product line and paste text more carefully. Poorly extracted PDF text is a common cause.
What you should see: A schedule you built row by row, with sources recorded. Troubleshooting: If the Gem merges two items, send them separately.

Find missing information
For the row above, list what I should ask the manufacturer's representative for, based only on fields marked "not stated on sheet".
Notes field only
From this spec text, write the Notes field only: care instructions and installation notes as printed, quoted exactly. Do not add anything.
Compare two rows
Here are two rows from my schedule. List any field where the two items differ, and say nothing about which is better.
