What you'll accomplish
Three vendors quote the same sofa, and each quote uses a different layout. One lists freight as a line, one buries it in a footnote and one leaves out white-glove delivery altogether. Lining them up by hand takes an hour. With a quote PDF uploaded into a regular ChatGPT chat, you get one table of line items, quantities, lead times, delivery terms and exclusions as each quote states them, plus a list of what to ask each vendor. Then you check every number against the original quote.
What you'll need
Read this before you upload. Vendor quotes carry your trade pricing, which is confidential. Vendors and clients should not see each other's numbers or your net costs and markup. Upload quotes only to a tool your studio has approved for business data, and check ChatGPT's data controls first: whether chats and files can be used to improve models and how long they are kept. A free consumer plan may use content for training unless the setting is off. Before uploading, remove or black out the client's name, the delivery address, phone numbers and any account numbers. Replace them with a project code. Read each vendor's terms, because some quotes carry confidentiality language. If you cannot remove the sensitive details or your studio has not approved the tool, do the comparison by hand.
What you should see: Cleaned copies with no personal details, next to your untouched originals. Troubleshooting: Scanned quotes that are pictures can be read badly. Use the vendor's digital PDF if you can.
What you should see: The files listed in the message box. Troubleshooting: If you do not see an attachment control, your plan or app version may not support uploads. Check ChatGPT's help pages for your plan, or paste the cleaned text of each quote instead.
Paste the prompt in the "Your First Real Task" section. The key rules: use only what the quotes say, copy wording as printed, mark gaps as "not stated", and list questions for the vendor rather than guessing.
What you should see: ChatGPT working through the files and replying with a table. Troubleshooting: If it asks which file is which, tell it the vendor labels from the filenames.
What you should see: A table with quantities, lead times as stated, delivery or freight terms and exclusions, followed by a list of unclear items. Troubleshooting: If the table is too wide, ask for one table per vendor.
This step is not optional.
What you should see: A comparison you have personally confirmed. Troubleshooting: If you find errors in several rows, ask ChatGPT to redo the comparison one vendor at a time. Then verify again. Do not use the table for ordering until it matches the quotes.
What you should see: A short, specific email per vendor. Troubleshooting: If a question depends on another vendor's pricing, rewrite it so it does not reveal the other quote.
What you should see: A chat removed from your history. Troubleshooting: Read ChatGPT's data retention notes to understand what deleting means for your plan.
Totals check, for your own verification
List only the numeric amounts printed on Vendor A's quote, each with the line it appears on. Do not add them. I will check the arithmetic myself.
Exclusions only
From each quote, list every exclusion, condition or "not included" statement, quoted word for word, with the vendor name.
Terms comparison
Compare the deposit, cancellation, return and damage-claim terms across the quotes. Quote each term exactly and write "not stated" where a quote is silent.
Email to a vendor
Write a short, polite email to Vendor B asking these questions: [questions]. Do not mention any other vendor or any price from another quote.
