Use Copilot in Excel to Track Selections Against the Approved Budget

What This Does

You keep one row per selection, with the client-facing price, and a small table of the budget the client approved for each category. Copilot in Excel can build the totals, show the variance for each category and make a chart, so you can tell a client where the budget stands without rebuilding a table each week.

Before You Start

  • You use Excel with a Microsoft 365 subscription
  • Copilot is included in your license. Microsoft's help page says that if you do not see Copilot in Word, Excel, PowerPoint or OneNote, it may not be included with your subscription or may be turned off by your organization. Not every plan includes it, and this guide does not assume yours does. Check Microsoft's Copilot pages for current license details, or ask your IT contact or account representative
  • Your workbook has a selections sheet with these columns: Category, Item, Quantity, Client Price (the figure the client sees, per unit). It also has a small second table with the approved budget by category

Keep net costs and markup out of this workbook. The workbook may be shared with the client, so it holds only client-facing prices. Your trade pricing, net cost and markup live in a separate file. Also use a project code instead of the client's name and leave out the property address. Check Copilot's data settings with your IT contact.

Steps

1. Open Copilot

Microsoft's page says to select the Copilot icon in the lower-right corner of Excel. Copilot opens in edit mode by default, and the page describes edit, plan and chat modes. In edit mode Copilot changes your workbook directly. In plan mode it shows a plan for you to confirm first. In chat mode it answers without changing anything. Save a copy of the workbook before you start, then choose plan mode or edit mode.

2. Ask for totals, variance and a chart

Type a prompt like:

Using the Selections sheet, calculate a line total for each row as Quantity times Client Price. Then build a table of totals by Category. Next to the approved budget table, show the variance for each category as budget minus selections total, and flag categories over budget. Create a column chart comparing budget and selections total by Category.

You can watch Copilot work in the pane. Microsoft's page says there is a Stop button in the lower-right corner of the chat input field if you need to halt it.

3. Verify two category totals by hand

Pick two categories and recompute the totals with a calculator, from the rows you can see. Do not skip this, since Copilot can pick up the wrong column or miss a row. Then check that the variance equals budget minus total.

4. Share the result carefully

Check the chart's title and labels before you send it. Keep the full selections list private if the client only needs the summary.

Real Example

Scenario: You are partway through a living room and want to show the client where the approved budget stands. These are invented numbers for an example.

Approved budget: Furniture 5000, Lighting 1500, Window treatments 2000.

What you get: Totals of 4200 for Furniture (2 x 1500 plus 3 x 400), 1600 for Lighting (2 x 350 plus 900) and 1500 for Window treatments (6 x 250). The variances are 800 under for Furniture, 100 over for Lighting and 500 under for Window treatments. Your hand check confirms the Furniture and Lighting totals before you send the chart.

Tips

  • Ask for variance as a separate column, so a formula error is easy to spot.
  • If Copilot guesses at a missing price, delete the guess and enter the real figure yourself.
  • Quantities and prices come from vendor quotes. Copilot never knows a current price.
