Use Gemini in Google Docs to Tighten a Design Proposal or Letter of Agreement

What This Does

You already have a proposal or letter of agreement template that your lawyer or you wrote. Gemini in Docs can rephrase a clumsy paragraph, shorten a long scope description or make a cover note warmer, and it shows each change as a suggestion you accept or reject. The contract terms stay yours.

Before You Start

  • You use Google Docs with Gemini available. Google says the feature requires an eligible Google Workspace or Google AI plan. For a business account that generally means a Business Standard plan ($14/user/month), with details at workspace.google.com
  • Open a document and look for Gemini (Google's page says to click Gemini to start). If it is missing, ask your Workspace admin whether Gemini is turned on for you
  • Work on a copy of the proposal, not the signed original

Privacy. A proposal often carries the client's name, address and budget range. Replace the client's name with [Client] and delete the property address before using Gemini, and add them back after you finish. Leave out financial details about the client and any NDA-covered material. Check your Gemini data settings and your admin's policy on what is kept.

Steps

1. Open the proposal and ask Gemini

Open the copy in Google Docs and click Gemini. Type a prompt in the bar. Google's page says you do not need to select text first, and you can mention a section in the prompt to aim at it. For example:

2. Or use quick actions on selected text

Select a paragraph and click Refine on the floating bar. Google's page lists Rephrase, Shorten, Elaborate, More formal, More casual, Bulletize and Summarize. Use Shorten on a wordy paragraph, or More formal on a cover note that reads too casually.

3. Review every change before you accept

Gemini's changes show up as suggestions in the document. You can click Accept suggestion on one change, Accept all, or Reject all. Accept one at a time for a proposal. Read each change against the original and check three things:

  • Fee structure, amounts, deposits and payment dates read exactly as you wrote them
  • Phases, deliverables and the number of revision rounds are unchanged
  • Exclusions and what you do not handle have not been softened or dropped

Gemini can quietly turn "two rounds of revisions" into "revisions as needed" when it tightens a sentence. Reject any change that alters meaning, even slightly.

4. Get a lawyer's review for anything that matters

If a clause changed at all, have your lawyer look at the final wording before it goes to a client. Gemini is a writing aid and does not know your state's requirements or your contract's legal effect.

Real Example

Scenario: Your proposal's scope paragraph runs to a page, and prospective clients have told you it is hard to follow.

What you type: "Rewrite the Scope of Services section so it is easier to read for a homeowner. Use short sentences. Do not change any fee amounts, phases, revision limits or exclusions."

What you get: A set of suggestions that break long sentences apart. You accept the ones that keep your meaning, reject the one that replaced "up to two revision rounds" with "reasonable revisions", and read the exclusions line one more time.

Tips

  • Gemini can use another file as a source: click Sources at the bottom bar and add a file from Drive, or type @ and search. Use it for a bio paragraph, not for fee terms.
  • For a delicate message such as a fee increase, ask for a shorter version, then rewrite the key sentence in your own words.
  • Keep your template untouched in Drive, so you can always compare against it.

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
