Use Gemini in Google Docs to Turn Site Notes into a Designer's Punch List

What This Does

After a site visit you have a page of rough notes, typed on your phone or dictated in the car. Gemini in Docs can turn them into a table with a row for each issue, so you can send a clean list to the right trade or vendor. This is your own list of what differs from the design intent: wrong finish, damaged item, missing hardware, item not per spec. It is separate from the contractor's construction punch list.

Before You Start

  • You use Google Docs with Gemini available. Google says the feature requires an eligible Google Workspace or Google AI plan. For a business account that generally means a Business Standard plan ($14/user/month), and plan details are at workspace.google.com
  • Your site notes are in a Google Doc. Look for Gemini in the document. If it is missing, ask your Workspace admin
  • Keep the original notes untouched in a separate document

Privacy. Site notes can mention the client's name, the street address, alarm codes, who is home and what is in each room. Before you ask Gemini to restructure them, replace the client name with a project code, remove the address, and delete anything about security systems, key locations or valuables. Check your Gemini data settings and your admin's policy.

Steps

1. Paste or open the notes

Copy your cleaned notes into a new Google Doc. Keep the original elsewhere.

2. Ask Gemini to restructure them

Click Gemini and enter a prompt. Google's page gives a similar example of converting a bulleted list into a three-column table. Try:

Turn these site notes into a table with the columns Item, Room, Trade or Vendor, Issue, Status. Each issue gets its own row. If the notes do not say the room, trade or status, write "Not stated" rather than guessing. Use Open for Status unless the notes say otherwise. Do not drop any note.

Gemini shows the result as a suggestion. Use Accept suggestion or Accept all if it looks right, or Reject all to start over with a clearer prompt.

3. Walk the list against the original notes

Open the original notes beside the table and tick through them line by line. For each note, find its row. Look for:

  • A note that was merged with another so one issue disappeared
  • A room or trade Gemini filled in that your notes never mentioned
  • A damaged item that became "wrong finish", or the reverse
  • A note about a missing item that was left out entirely

Fix anything that does not match. The count of rows should line up with the count of issues you wrote.

4. Check items against the spec

For each row, you decide whether an item is truly not per spec, by checking the manufacturer's spec sheet and your own specification. Gemini cannot tell if a finish is wrong. Any note about a code, accessibility or safety concern goes to the architect, engineer or code official, not into a Gemini verdict.

5. Send it

Export or share the doc with each trade or vendor. Send each party only their own rows so they do not see other vendors' problems or any pricing.

Real Example

Scenario: Your notes read: "Kitchen pendant over island came with the wrong finish, vendor A. Primary bath, towel bar missing screws, plumber to check. Living room sofa arm has a scratch, delivery damage, vendor B. Dining chairs fabric not the approved one."

What you type: The prompt in Step 2.

What you get: A four-row table. One row reads: Kitchen pendant, Kitchen, Vendor A, Wrong finish, Open. During the walk-through you spot that the dining chairs row names the trade as "Not stated" and you fill in the upholsterer.

Tips

  • Dictate notes in the order you walk through the rooms. Gemini keeps room names consistent when you do.
  • Add photos to the table yourself, after checking them for people, house numbers and security panels.
  • Use a Status dropdown only if you want it. Gemini's table is plain, and you can add a dropdown from Insert, then Dropdown.

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
